Account Closure and Data Deletion Policy

1. Plan cancellation is not account closure
Cancelling a paid subscription changes the plan at the end of the current paid billing period. It does not close the Helm account or delete the Site and its records. The account returns to Free and remains active unless you separately request account closure.
Free includes the live Site, booking link, unlimited bookings, customer profiles and history, and custom-domain support. Paid feature writes, sends, refunds, fulfilment actions, and other paid activity stop when the paid entitlement ends.
2. Historical commercial records after downgrade
While the account remains active on Free, existing invoices, receipts, and orders remain available as read-only history. You can view and print them and download complete exports that include document line items and the related order or receipt details where those records exist.
Historical access does not restore paid creation, editing, sending, refund, fulfilment, cancellation, or other mutation rights. Export files are provided in the formats shown in Helm; this policy does not promise a separate PDF backup.
3. Failed payment grace period
When a paid renewal or invoice payment fails, Helm may retry the payment during a 14-day grace period and will show the payment status in Billing. If the balance is not resolved during that period, the paid entitlement ends and the account returns to Free.
An unresolved payment after the grace period does not by itself close the account. The live Site and bookings remain available, and the historical access described above continues while the account is active. New paid-feature activity remains unavailable until a paid subscription is successfully restored.
4. Account closure
Account closure is a separate action from plan cancellation or a return to Free. You may request closure through Helm or by contacting support@gethelm.asia. Before confirming closure, download the records you need. Once closure takes effect, Helm will take the public Site and booking link offline and stop normal account access.
Closure may also occur when Helm terminates an account under the Terms for a material breach, security risk, legal requirement, or another permitted reason. The closure and deletion treatment is the same unless a legal, security, payment, dispute, or operational requirement requires a different hold.
5. Export and deletion after closure
- For 30 days after closure, Helm will make available the standard account export that the product supports, where technically and legally feasible.
- After the export window, customer-facing data may be permanently deleted, anonymised, or aggregated.
- Billing, tax, payment, security, dispute, audit, and other records that Helm must keep may remain for the period required by law or the relevant provider or business need.
- A request for permanent deletion is handled under the Privacy Policy and applicable law. Deletion does not require Helm to erase records that must be retained for a lawful purpose.
